Executive Meeting Minutes
April 27, 2010

The April 27th NSCNA Executive Meeting was held at Barbara Anderson’s house and began at 6:30 PM.

Members present:
•    Barbara Anderson, Vice President
•    Merle Kullberg, Treasurer
•    Samantha Guse, Secretary
•    Jennifer Konopasek Director #1
•    Pat Hughes, Director #2
•    Mitch Canton, Director #3
•    Dan Bodell, Director #4
•    Larry Gentry, Director #5
•    David Devine Director #7

Members Absent:
•    Ron Wilson, Director #6

Guests:

1.    Introductions and Agenda Review

2.    Minutes – Samantha

a.    Larry moves that we dispense with the reading of the minutes.  Dan seconded. All in favor.  Motion carries.

3.    Officers Reports

a.    Treasurer Report – Merle
i.    $235.51

4.    Old Business

a.    Upcoming Community Visibility Projects
i.    Fairgrounds Opening Ceremony – May 22nd at 10 AM.
ii.    Parade of Bands – May 15th
iii.    Health & Safety Fair – CCFD6 Hazel Dell – June 5th from 12-4
1.    2 hour shifts
a.    11:30-2:  Pat, Paul, Barbara, Avril, Mitch (float),
b.    2-4:30:  Samantha, Merle, Larry
2.    Brochure needs updating.  EVERYONE take a look and send changes and suggestions to Barbara by May 14th.
3.    Dan moves that there be no more than $25 spent on accessories supporting the Health and Safety Fair Open House.  Jennifer seconds.  No discussion.  All in favor. Motion carried.
a.    Barbara will pick tootsie pops up at Costco.
iv.    July 4th (& August celebration) Planning May 22nd
1.    Bubbles
2.    Sno-cones with Lions Club
a.    Barbara will price the rental of the Sno-Cone Machine.
3.    Barbara will talk to Milada about whether the water balloon toss is necessary if we do the sno-cones.
4.    Foster Farms donation – part will be for August celebration.

b.    Communications Committee – Mitch web update

c.    CERT sheds update – Dan
i.    Grants coming up that may help – Nutter, Walmart, etc.
1.    Need a budget cost for shed and contents.
a.    Dan will look into pricing – Constructing it from materials vs. buying a box.
2.    Need to talk to the Vancouver School District about siting sheds on their properties.
a.    On their property, under their insurance, but we would stock & maintain.
ii.    CERT is asking volunteers whether they will allow their names to be given to the neighborhood associations.

d.    Parks Committee update – Barbara

e.    501(c)(3) requirements:  Status tax filing and donation letters (process for tracking in future) – Merle and Samantha
i.    Merle to check on tax filing status before May 12th so our non-profit status is secure.
ii.    Donation letters just need contact info and are ready to distribute.
iii.    Donation process flow:  
1.    Receive donation.
2.    Provide donator with receipt with EIN# (It is up to them to record for their taxes.)
3.    Treasurer records donations in our books.
4.    Thank you letters would be great later on! 
iv.    Find receipt book for donations – Samantha

f.    Zoning Committee update – Dan
i.    Noble Meadows

g.    Traffic issues
i.    Synchronization project on 134th was delayed.  Two projects nearby recently completed so watch to see if there is any improvement.

h.    NDT update – Carrol
i.    Larry will take over NDT Lead.
ii.    Send Larry (CC Barbara) the numbers of newsletters you need right away.

i.    Review – Meeting location change & July Meeting status
i.    Jennifer has located a screen to use for presentations.
ii.    Dan has found a flag.
iii.    Board should still show at 6:30 to help with set up.

5.    New Business

a.    President candidate – Paul Scarpelli
i.    David nominates Paul Scarpelli as the new President.  Avril seconded.  Discussion.  All in favor.  Motion carries.  Paul is our new President.  Congratulations, Paul!

b.    Grant Opportunities
i.    Nutter
ii.    Walmart

c.    Newsletter deadlines
i.    Barbara on vacation May 1st – 12th.  She’ll send it to the printer before she leaves.
ii.    Need counts from NDT and directors by Friday, April 30th.
iii.    Need contact for Twilia (print shop) for pick up – Larry
iv.    Hand delivered copy.  Heads up courtesy notification to volunteers around May 1st.
